Confidentiality and Client Access to Records Policy

Policy Statement

Carmel Caterpillars staff and Managers have confidential relationships with families. We strive to respect the privacy of children and their parents and carers, while ensuring that they access high quality early years care and education in our Pre-school. We aim to ensure that all parents and carers can share their information in the confidence that it will only be used to enhance the welfare of their children. There are record keeping systems in place that meet legal requirements. The storing and sharing of information are within the framework of the General data Protection Regulation Act (2018) and the Human rights Act.

Confidentiality Procedures

  • Some parents sometimes share information about themselves with other parents as well as staff; the setting cannot be held responsible if information is shared beyond these parents whom the person has "confided" in.
  • Information shared between parents in a discussion or training group is bound by a shared agreement that the information is confidential to the group and not discussed outside of it. 
  • We inform parents when we need to record confidential information beyond the general personal information we keep ( see our Record Keeping Procedures ) - for example with regard to any injuries, concerns or changes in relation to the child or the family, any discussions with parents on sensitive matters, any records we are obliged to keep regarding action taken in respect of child protection and any contact and correspondence with external agencies in relation to their child. 
  • We keep all records securely ( see our Record Keeping Procedures).
  • Staff and students will not discuss individual children, other than for the purposes of curriculum planning, with people other than parents/carers of that child. 
  • Issues to do with employment of staff will remain confidential to the people directly involved in making personnel decisions. 
  • Any students observing in the Pre-School will be advised of our Confidentiality Policy, and required to respect it

Safeguarding Statement

Carmel Caterpillars is committed to the safeguarding of all its learners, staff and visitors.

 

Safeguarding is a priority with arrangements in place to ensure learners feel and are safe on school premises and during offsite activities.

The learner experience and individual achievement are paramount and safeguarding initiatives are developed to impact positively upon this.

The Preschool ensures safeguarding legislation and guidelines are adhered to and taken into account when developing and revisiting policies, procedures and associated arrangements.

The Preschool provides a safe physical environment for its learners and staff, ensuring the premises are of a good standard.

Health and safety arrangements are in place to ensure adherence to current legislation and guidance

The Preschool includes questioning at the interview stage, verification of appropriate qualifications, acquiring references and necessary safety checks.

The preschool has a designated safeguarding lead (DSL) responsible for child protection, supporting staff and carrying out their safeguarding duties and working closely with other services.

The Preschool has policies and procedures in place to deal efficiently with child protection and safeguarding issues, together with recording and monitoring processes.

It is a condition of employment that all staff are trained to a level appropriate to their safeguarding responsibility.

The Preschool‘s commitment to safeguarding is paramount to the success of the learners.

Committee members, senior management team and the safeguarding working team will continue to keep on top of developments in the area and implement arrangements to continually improve the safety and awareness of its learners, staff and volunteers.
